PromoServe 3.4 is packed with more than 200 new features and improvements, a full list of which is available on Knowledge Base (please click here to access).
Key New Features
The latest version of PromoServe has a dramatically improved quotations routine, made possible by the efforts of suppliers using PromoServe Link to get their product data formatted correctly, and based on user feedback.
The new routine is explained in full in the attached document but the following screenshots highlight how you could save time and provide more accurate information using the new Quotations routine:

Easy Product SourcingWhen you're entering a quote, if you don't know the product code and need a more comprehensive product search, then you can click on the 'Easy Sourcing' option. This enables you to:

Create Personalisation OptionsOnce you have chosen a product, the screen opposite will appear showing you the branding options available for the product. This easy wizard will both prompt you to ensure that you understand the customer's requirements, and save you time creating a quotation.

Produce your QuotationMore than 20 standard print options, or you can have your own bespoke quotation format created for you. Detailed opposite are two example quote formats that can be produced by PromoServe. These quote formats can be customised in System Functions and can include:

Development on PromoServe is steered by the User Group, suppliers and distributors who meet to discuss PromoServe and how it could better serve their - and your - requirements. One of the most time consuming processes within their businesses - and one with the greatest potential for error - was handling bespoke enquiries for products. The problem was not so much finding a supplier for the product, but rather getting a competitive price, keeping to the customer's original specification and moving the order through the system with trace-ability.
Thus one of the key developments for PromoServe 3.4 is the all new Bespoke Enquiry routine, designed to help you win more business and service your customers' requirements more efficiently.

Step 1When creating a quote, click on the Bespoke Enquiry button from the Quotation Details screen, and the screen opposite will come up. It displays any previous enquiries for the chosen client. This will allow you to either:

Step 2After adding an outline product category such as Pens & Writing Instruments, the screen opposite will allow you to enter more important data that will be needed to get prices. You will be prompted to enter:

Step 3The outline product category entered previously will determine the questions that are asked of you on the next tab - Print Spec (pictured opposite). Each question has a series of drop down answers for the most common responses, or you can just type in an answer. The next tab 'Special Features' enables you to free type any further information needed about the product. |

You can send enquiries to suppliers by email, fax or print, and the enquiry includes the full specification of the product required, quantity required and box to insert price, timescale by when prices are required, and enquiry number. |

Step 4Once suppliers have provided their prices for the enquiries these can be input manually or imported from a spreadsheet. Once the prices are input you can select your chosen margin, select the supplier or let the software select the supplier offering the best prices. You can then review and change prices by margin, sell price or profit made. Once you have received your selling prices the details are imported into the quotation where you can: |

As soon as you save the quote the system will auto-create a unique product code based on a combination of the customer code and the enquiry number. |
